The paper work considered necessary consists of the following :-

(1) Monthly report letter.
(2) Monthly stock report.
(3) Order form giving detailed delivery schedule.
(4) Record card of deliveries and budget.
(5) Card showing quotation, enquiries and results.
(6) Card showing location of all tools on loan.
(7) Card showing all the jobs at any one subcontractor.

The last is not necessary but would be useful.

The Vickers type report by the outside engineer on visiting a new firm should be adopted. It gives a concise record of the machines at that firm.

It is left to Glasgow to obtain, when finality has been reached, the necessary stationery and card records. They will however consult Derby before ordering so that if possible the same records could be used at Derby and Crewe.

Glasgow will start the new scheme immediately on two firms and on others when opportunity arises and also when sending orders to new firms. They will soon be able to let us know any deficiencies in the arrangement and any changes in the wording of the paper work required.

The following alterations were considered advisable during discussion while I was at Glasgow.

(1) Report letter to be sent monthly, the future delivery being scheduled for one and two accounting periods hence.

(2) Stock report should have an order number column and also a space for a description of the last batch despatched by the subcontractor so that arguments about parts in transit should be minimised.
