re - supplying spares to customers at Works.

With reference to my conversation of the 31st. ult.,
re dealing with customers when they come to the Works and
request spare parts. Please note that the system provides
you shall get an order signed in the spare parts order and
delivery book, for all parts supplied.

This document actually cuts out the delivery note
and serves the dual purpose of delivery note and order.

The procedure is for a representative of the
Shipping Office to go with this book to the customer or his
driver, take particulars of his requirements, get the parts
from the R.D. Stores, or Chat. The former course is recommended
and is agreed to by Hm.{Capt. W. Hallam - Head Repairs} The order is then handed to the
customer for his signature in the book. When you have
handed the parts over and got the order signed, you issue card
to R.D. covering supplies, also send copy to Chat. asking
thereon for him to issue U/F Sheets and please see that these
are made out.

On Chat's copy, you should state that these parts
have been handed over to the customer at the front door
in order that they can bebooked out accordingly. You should
see that the U/Fs{F. Steele} go to the accounts promptly through Marple.

When the customer himself signs the order you need not
confirm, but where a driver comes and requests parts, then
a copy of the order which is in duplicate should be sent to
the owner confirming the drivers instructions.

The object of this arrangement is to supply parts
without keeping the customer waiting, someonefrom the Shipping
Office should go to the R.D. and deal with the job personally,
as it is not a Repair Dept. Job.

I hope I have made the matter clear in this memo
as arranged with Hm.{Capt. W. Hallam - Head Repairs} Please see that the matter is dealt
with so that there shall not be any complaints.
