Re: Gears returned to Gleasons, Rochester, N.Y.
Rm{William Robotham - Chief Engineer}/Gry.{Shadwell Grylls}2/MH.{M. Huckerby}29.11.38.

We are informed in the memo above referred to that credit is not to be expected in respect of the scored pair of gears which were returned to Gleasons in September.

On reference to our instructions it is noted that these gears were returned as they had failed on the dynamometer, and we submit that if a part is returned due to a failure, credit is to be expected. If there are other circumstances, this information should be disclosed at the time. We dealt with this matter on a return credit basis coupled with the proposal to obtain the refund of British Import Duty.

We understand that the Accounts Dept. wrote on November 3rd. pressing for credit in respect of these gears, and that a reply has been received from Gleasons stating that this matter has been discussed with a representative recently in U.S.A. and that in the circumstances no credit was likely to be issued. We suggest that the circumstances should have been made known to us and the Accounts Dept. in this instance. At the same time the Accounts Dept. should not write in respect of any re-exported item without reference back to D/BP or Rm{William Robotham - Chief Engineer}/Gry.{Shadwell Grylls}

We understood that they were returned defective and that we would not expect credit until a report had been received from the makers admitting that they were faulty.

Had this matter been referred to us, we should not have written to the Gleason Company, under any circumstances, without ascertaining from Rm{William Robotham - Chief Engineer}/Gry.{Shadwell Grylls} if any report had been received from the Gleason Company.

In future will the Accounts Dept. please refrain from taking similar action in matters with which they are not concerned.

CONT'D.{John DeLooze - Company Secretary}
