Seeking clarification on the correct procedure for referencing letters and using initials.

Reference your CJ12/B.2.25. to D.{John DeLooze - Company Secretary} Some little difficulty seems to be experienced in regard to the first and third paragraphs of your recent instructions. If we take say By's Department, letters issued by that Department have By's reference whether he writes the letter personally or not. If he does not write personally, his initials are followed in the reference by the initials of the man in his department who has written the letter. In the attached example, the letter is written by one of By's men, the reference and signature shewing this. If By.{R.W. Bailey - Chief Engineer} were away do you want this procedure continuing with the addition of words e.g. "By.{R.W. Bailey - Chief Engineer} away in America", or do you want the "initials at the head and at the foot --- to be those of the official who has written or dictated and signed the memoranda". This would involve deleting the initials of the head of the Department. Perhaps you will kindly indicate on the attached copy memo which course is to be followed so that the cuery raised can be authoritatively settled. Wn. Enclosure. | ||
